Privacy Policy

Always Optimise Pty Ltd (ABN 80 095 853 991), trading as OrgSnapshot, operates OrgSnapshot.ai (we, us, our). We are an APP entity under the Privacy Act 1988 (Cth) and handle personal information in accordance with the Australian Privacy Principles (APPs).

The short version. We collect the minimum we need to run the snapshot and deliver what you buy. We do not sell your data. We ask you not to put personal information about members, customers or staff into AI-assisted fields, and our system is built to keep it out of AI prompts. Our AI features assist you; they do not make decisions about individuals on their own.

We ask you not to submit personal information about identifiable individuals unless necessary and authorised, and to de-identify where you can. We do not seek sensitive information.

To provide the Service and deliver what you purchase; operate, secure, troubleshoot and improve it; process payments and manage your account; respond to enquiries; send service messages and, where permitted, marketing you can opt out of; and meet legal obligations.

5.Automated decision-making

Drafted ahead of the 10 December 2026 APP 1.7–1.9 obligations — we disclose our use of automated processing now, as a matter of transparency and trust.

Our engine uses information you provide to automatically generate an organisational readiness assessment, a modelled capacity range and ranked recommendations. This automated processing is advisory (a planning input, not determinative); does not, on its own, make any decision with legal or similarly significant effect on any individual; and is always subject to human review. Because our outputs are advisory and human-reviewed, we do not consider them to be decisions that significantly affect an individual’s rights or interests within the meaning of the incoming APP 1.7 obligations. We will review this section before those obligations commence on 10 December 2026.

6.Who we share it with

We do not sell personal information. We share it only as needed to run the Service, with providers who process it on our behalf under contract, and as required by law. Our current and planned providers:

Overseas disclosure (APP 8). Some providers are overseas, principally the United States. Where we disclose personal information overseas we take reasonable steps to ensure it is handled consistently with the APPs. You acknowledge that, for overseas recipients, APP 8.1 may not apply and we may not be accountable under the Privacy Act for their acts. We maintain a current provider list and update it as arrangements change.

Where permitted, we may send you marketing about the Service. Every marketing message includes an unsubscribe option, and you can opt out at any time. We comply with the Spam Act 2003 (Cth). Opting out does not stop essential service messages.

9.Cookies and analytics

We use cookies and similar technologies to make the site work, remember your session and understand usage so we can improve it. You can control cookies through your browser; disabling some may affect how the site works. Where a consent mechanism is shown, we default to the most privacy-protective option.

10.Your rights — access and correction

You may ask for access to the personal information we hold about you (APP 12) and ask us to correct it (APP 13). We respond within a reasonable time. There is normally no charge to ask; if access is complex we may charge a reasonable cost-based fee and will tell you first.

11.Complaints

If you think we have breached the APPs, contact our Privacy Officer (clause 12). If you are not satisfied, you may complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or 1300 363 992.

13.Overseas visitors and changes

The Service is operated from Australia for Australian businesses. If you access it from elsewhere you do so on your own initiative and are responsible for local compliance. We may update this policy; the current version, with its effective date, is always on the Service, and material changes are notified by a reasonable method.
